Terms

Last updated November 6, 2026

These terms govern your use of the Veillane marketing site, the Veillane application, and the client portal (together, the "Service"), operated by BeinFit Limited (trading as Veillane), a company registered in England and Wales (company no. 15335692), registered office 2nd Floor College House, 17 King Edwards Road, Ruislip, London HA4 7AE. By using the Service you agree to these terms. They work together with our Privacy Policy.

Which agreement applies to you

  • Firms that subscribe — your binding agreement is the Subscription Terms and Data Processing Addendum you sign with us. Those prevail over this page for your use of the application.
  • Client organizations and portal users — your access is governed by the Client-Portal Terms your HR firm makes available, and by these terms.
  • Website visitors — these terms, and the Privacy Policy, govern your use of this site.

What the Service is — and isn't

Veillane provides software that fractional and outsourced HR firms use to run their services: intake and tracking of requests, time against retainers, hours remaining, and branded invoices. Veillane is the platform only. We do not provide HR, legal, tax, or other professional advice, and nothing in the Service is such advice. For advice, speak to your firm or a qualified professional.

Accounts and access

Access to the application and portal is provisioned by the firm, which decides who may use it and in what role. Keep your credentials secure, don't share them, and tell us or your firm promptly about any suspected unauthorized access. You are responsible for activity under your account, and you will only access data and matters you are authorized to see.

Acceptable use

You agree not to:

  • use the Service unlawfully, or to submit unlawful, infringing, or harmful content;
  • upload malware, or attempt to breach security, access controls, or other users' data;
  • copy, reverse engineer, resell, or scrape the Service except as the law allows;
  • misrepresent your identity or authority, or use the Service other than for its intended purpose.

Your content

You keep ownership of the content you submit. You are responsible for having the right to provide it, and for not submitting anyone's personal or sensitive data unless you are entitled to. You grant us the rights needed to host and process your content to operate the Service. How we handle personal data is described in the Privacy Policy and, for firms, the Data Processing Addendum.

AI features

Some features use AI to help draft outcome notes. These produce drafts for a person to review, never final decisions; the case text is de-identified before any AI processing; sensitive matter types are excluded; and we do not use your content to train foundation models.

Fees

Fees, billing frequency, and any pilot or trial terms are set out in a firm's order or Subscription Terms. The marketing site is free to browse. Nothing on the pricing page is an offer capable of acceptance until confirmed in an order.

Intellectual property

The Service and all related software and content are owned by Veillane and its licensors. You receive only a limited right to use the Service for its intended purpose while your (or your firm's) access is active.

Availability, disclaimers, and liability

We aim to keep the Service available, but it is provided "as is" and may be unavailable, interrupted, or changed. To the fullest extent permitted by law, we exclude implied warranties and are not liable for indirect or consequential loss, or for loss arising from a firm's decisions, advice, or handling of its matters.

Nothing in these terms excludes or limits liability that cannot be excluded or limited by law — including for death or personal injury caused by negligence, for fraud, your non-excludable rights under the UK Consumer Rights Act 2015 where you act as a consumer, and the non-excludable consumer guarantees under the Australian Consumer Law where it applies. For a subscribing firm, the liability cap and any sub-limits in its Subscription Terms govern.

Suspension and termination

Access depends on a firm's subscription and authorization, and may be suspended or ended — for example for a security risk, a breach of these terms, or if the subscription ends. On termination your right to use the Service stops; personal data is handled as described in the Privacy Policy and the relevant agreement.

Changes

We may update these terms as the Service and our obligations change. We will revise the date above and, for material changes, give more prominent notice. Continued use after a change means you accept the updated terms.

Governing law and contact

These terms and any non-contractual obligations are governed by the law of England and Wales, and its courts have jurisdiction, except where mandatory local law gives you other rights. Questions: legal@veillane.com.
